Preserving Historical Information

Congratulations! You just completed a full year of tracking your organizationโ€™s strategy and performance. There were likely many successes and goals achieved, as well as areas identified that you may need to work on going forward. No matter what, itโ€™s important that all that hard work isnโ€™t forgotten and that you can reference it if necessary.

Luckily, there are several ways to preserve your historical information in ClearPoint.


Duplicating a Scorecard

Duplicating a scorecard allows you to continue reporting on your current scorecards while also maintaining a historical version. This ensures that anyone with access can view prior-year updates without impacting active reporting.

Archiving a Scorecard

Archiving a scorecard helps keep your account organized by removing scorecards that are no longer actively used, while still preserving them for future reference. Archived scorecards can be unarchived at any time.

Locking a Scorecard

If you create new scorecards each year, locking old scorecards is often the best way to preserve historical data. Locked scorecards prevent further edits while remaining visible.

Creating Templates for Historical Reporting

ClearPoint provides multiple ways to preserve historical reporting formats for reuse or reference:

  • Creating a Briefing Book template

  • Generating a Briefing Book

  • Creating a Published Report (HTML Report) template

All Briefing Book and HTML Report templates are managed in Templates & Documents.

Create and Access Snapshots

Snapshots allow you to preserve a view-only copy of your entire account at a specific point in time. This is especially helpful if you are planning to make widespread changes.

  • Only Administrators can create and view Snapshots.

Reporting Periods and Frequencies

Once your account has been cleaned up, setting up reporting periods and frequencies for the new year is critical for accurate data entry, calculations, and charting.

Reporting periods that are no longer in use can be archived so you can focus only on active periods.


Adding Reporting Periods

To speed up setup, you can add multiple reporting periods at once, including copying and pasting from a table.

Add and Edit Reporting Frequencies

Review and update reporting frequencies to ensure measures and calculations align with your new reporting cycle.

Period Options and Fiscal Years

  • Archive any reporting periods you are not using in the new year.

  • If your account uses Fiscal Year calculations, review your fiscal year configuration to ensure calculations aggregate correctly.

Account Configuration

If the content of your strategic plan is changing, itโ€™s a good idea to review your account configuration as part of your rollover process.

This may include:

  • Updating which cards appear on element detail pages

  • Creating new custom fields or archiving unused ones

  • Setting default detail page layouts for newly created elements

  • Adjusting default series behavior for new measures

Custom fields can be archived to reduce clutter and easily unarchived later if needed.


Reporting

Once element detail pages are organized and capturing the right information, review your reporting templates to ensure they reflect the story you want to tell.

This includes:

  • Summary Reports

  • Briefing Book templates

  • HTML Report templates

Managing Users

Your users are responsible for updating, analyzing, and reporting on your organizationโ€™s strategy. At the start of a new year, itโ€™s a great time to review user activity and license usage.

Recommended steps include:

  • Exporting User Access and User Activity reports to identify inactive users

  • Off-boarding users and reassigning licenses as needed

  • Reviewing user roles and permissions

  • Adding or editing users
