When employees leave your organization, it’s important to off-board them in ClearPoint to maintain security and ensure your account data remains accurate. This process involves removing their system access and reassigning ownership of any elements they managed.
By following these steps, you can keep your ClearPoint account secure, organized, and up to date.
Step 1: Remove User Access
Removing access immediately ensures that a user can no longer log in or view data.
From the top navigation, click Settings.
Go to Users & Security.
Navigate to the Users tab.
Click the kebab menu (⋮) and select Edit User.
In the User Details drawer, set User Type to No Access.
Click Save.
💡 Tip: This step also frees up a ClearPoint license that can be reassigned to another team member.
Step 2: Identify Elements Owned by the User
After removing access, identify any Objectives, Measures, or Initiatives where the user is listed as Owner or Collaborator.
You can quickly locate these using a filtered summary report.
From the left navigation, go to Reports.
Select Manage Reports, then open the Measure Reports tab.
Click + Add Report.
In Report Name, enter a title such as Off-Boarding – Measure Ownership.
Select the Report Type and Report Template.
Click Save.
Apply a Filter to Show the Off-Boarded User
Click the kebab menu (⋮) and select Edit Report.
Navigate to the Filter tab.
Set Filter Type to AND: Include elements that match all of the below.
Click Add Filter.
Select Owner from the Field dropdown.
Choose Equals for Comparison.
Under Value, select the user who was off-boarded.
(Optional) Add additional filters for Collaborators or other ownership fields.
Click Save.
Step 3: Reassign Ownership via Inline Editing
Open your off-boarding report (e.g., Off-Boarding – Measure Ownership).
Double-click the Owner or Collaborator field directly in the grid.
Select the new responsible user from the dropdown.
Click Save.
Repeat these steps for other element types (e.g., Objectives, Initiatives) by creating similar reports for each element category.
💡 Tip: Inline editing updates ownership instantly across ClearPoint and is reflected in both Detail Pages and Summary Reports.
